FORMAT FOR PRESENTATION OF SCIENTIFIC PAPERS
- There will be facility for single presentation from the computer (mac only) provided in the hall
- The presentation can be on powerpoint (preferably .pptx) using mac, or as a keynote as wide screen 16:9 aspect ratio
- Usage of own laptops will not be permitted due to the constraint of time
- All movie files should be brought as .mp 4 along with the presentation as a single folder
- At the time of loading please verify & ensure that your videos are working
- If any special fonts are used please bring the presentation as a pack & go (if created on windows) or save it as a .pptx as the fonts will get embedded and bring your laptop to the preview room
- There will be a digital reverse timer at the hall and all participants are requested to stick to the alloted time
- All presenters are requested to load their presentations atleast 3 hours before their presentation time
- No changes will be allowed to be made to the presentations at the last hour
- Only material submitted at the preview room will be allowed for presentation
- Presentations will be accepted only from pen drive and cannot be collected from mobiles or the internet
SPEAKER INFORMATION & GUIDELINES
- The Aspect Ratio of PowerPoint or Keynote to be maintained in 16x9 Ratio. (PDF is not allowed)
- Personal Laptops and Devices for presentation are not allowed.
- The Speakers should upload their presentation at the Preview Room by using a Pen drive, e-Mail and Airdrop(for Apple users), at least 4 hours prior to the session. Please do not try to load the presentation at the Hall itself.
- The Speakers are required to bring the linked video files in a separate folder even though it may be embedded in the presentation directly.
- The Video files embedded or linked in the presentation should be in .mp4 format, if your file is not ending with .mp4 format, then you can use https://handbrake.fr/ to convert any video format to mp4.
- The Speakers are requested to not make any major changes of the presentation at the preview room.
- After your presentation is uploaded in the preview room, It will be sent to the respective hall using our secured LAN system. The Speaker need not go to the av console system inside the hall to check if the presentation is working properly again.
- A timer will indicate the time you have left for your lecture.
- A buzzer will sound as a warning for you to conclude.
- At the end of the allotted time the lights will come on, the screen will go off and in 15 seconds the audio will also go off – so please ensure that your lecture finishes within time.
- All answers to questions, comments are to be directed to the chairpersons only and not directly to delegates.
- Please be in the Hall where you need to deliver your talk at the start of the session.
- You are requested to meet the chairperson before the session and indicate that you are present.
- Please be seated close to the stage / podium during the lecture of the previous speaker
CHAIRPERSON GUIDELINES AND INFORMATION
- Please be present at the Hall where you are chairing a session at least 5 minutes before the starting time.
- Introduce yourself to the other chairperson(s) and plan the session
- Check with the AV person in the hall that all talks are loaded
- Start the Session on time irrespective of the number of delegates in the hall
- If a speaker is not present please go to the next speaker.
- If there is a technical glitch with the presentation of a speaker – please ask the next speaker to deliver the talk – you can come back to this lecture once the problem has been resolved
- It is very important to keep to time - No extra time to be allotted or speaker to be allowed to continue speaking. The AV will go off at the allotted time. At this point please stop the lecture and request the next speaker to start.
- Please keep questions and comments as well as answers to these short and to the allocated time for this. Detailed discussions , arguments between delegates and speakers should be avoided.
- Chairpersons should give an opportunity to all delegates especially younger delegates to ask questions.
- Chairpersons may summarise the session – please avoid detailed comments
